What should an office cleaning schedule include daily, weekly and monthly?
An office cleaning schedule works in four layers. Every visit covers washrooms, kitchen surfaces, high-touch points, garbage and recycling, and floors in the main traffic areas. Weekly adds full vacuuming, interior glass, dusting and washroom walls. Monthly adds baseboards, vents, high dusting and doors. Once or twice a year covers carpet cleaning, hard-floor deep scrubbing and interior windows. Frequency should follow traffic and headcount, not only square footage. It is the layout Klein's uses for offices in Hamilton and Halton.
| Area | Every visit | Weekly | Monthly | Once or twice a year |
|---|---|---|---|---|
| Washrooms | Toilets and urinals, sinks, taps, mirrors, counters, floor washed, dispensers restocked, bins emptied | Partitions, walls around fixtures, doors | Grout scrubbed, vents, light fixtures | Floor deep scrub |
| Kitchen or lunchroom | Counters, sink, tables, appliance fronts, microwave inside, floor | Cabinet fronts, chairs | Inside the fridge by arrangement, backsplash | Inside cabinets, behind appliances |
| Touch points | Door handles and push plates, light switches, railings, elevator buttons, shared equipment | Door frames, glass in doors | Doors top to bottom | None beyond routine |
| Workstations and offices | Bins emptied, clear desk surfaces wiped | Dusting of furniture, sills, partitions | Chair bases, monitor tops, high ledges | Upholstered chairs |
| Reception and entrance | Entrance glass spot-cleaned, mats vacuumed, floor | All glass, seating wiped | Baseboards, vents | Carpet cleaning at the entrance, often more |
| Floors | Traffic areas vacuumed, hard floors swept and damp-mopped | All carpet vacuumed edge to edge | Edges and corners by hand | Carpet cleaning, hard floor scrub |
This is a typical custodial layout written by Klein's, not an official standard. A real scope is written for a real building after a walk-through.
How many times a week should an office be cleaned?
It depends on people and use more than floor area. A small office with a handful of staff and few visitors is often fine with one or two visits a week. Offices with a public reception, client washrooms or a busy shared kitchen usually need three to five evenings a week, because those rooms cannot go several days. The heavy "every visit" column is what drives the number.
Should the touch points be disinfected?
Where there is a reason to, such as cold and flu season or a shared-equipment workplace, the touch points in the "every visit" row are the ones to disinfect, after they are cleaned. The Canadian Centre for Occupational Health and Safety's touch point procedure starts by making sure the surface is visibly clean, and states: "Do not disinfect a visibly soiled surface." See cleaning vs disinfecting.
How do I use this to compare quotes?
Give every company the same list and ask each to price it. Quotes that look cheap usually drop the weekly and monthly columns. The guide on hiring a commercial cleaner in Ontario covers the rest of what to ask, from WSIB to keys.
